Privacy Policy for Milkman Diary
1. Introduction & Scope
Welcome to Milkman Diary, a premium dairy management application for businesses, owned and operated by Anjaneya TechHub ("we", "our", or "us"). We respect your privacy and are committed to protecting the personal and operational data of our users, which include subscription-holding Dairy Owners ("Milkmen") and their clients ("Customers").
This policy details how we collect, store, and secure data within the Milkman Diary ecosystem, including our secure servers and the offline-first mobile application.
2. Information We Collect from Dairy Owners (Milkmen)
Milkman Diary operates on an onboarding and subscription-based model for businesses. There is no direct public self-registration inside the app or on the website.
- Account Provisioning: Accounts are set up manually by the Anjaneya TechHub administration team after confirmation. We collect the Milkman's full name, dairy/shop name, primary mobile number, email address (optional), and initial login credentials.
- Unique Identification: Once onboarding is complete, our system creates a unique ID representing that specific dairy enterprise. This unique ID is stored securely and linked to all assets generated by that subscription.
3. Customer Information Entered by Milkmen
Customers do not directly register, create credentials, or authenticate on this platform.
- Customer Identification: For accurate record-keeping, Milkmen (Dairy Owners) will add the customer's name, email address, and mobile number (with the customer's consent) for customer identification purposes while making daily milk entries.
- No Direct Interaction: Since this is a bookkeeping platform for businesses, customer details are managed solely by their respective dairy owners for ledger identification and shift delivery tracking.
4. Operational & Transactional Data
To enable monthly billing and digital record-keeping, the app records transactional metrics entered during deliveries:
- Daily Shift Logs: Quantities recorded during morning (AM) and evening (PM) routes.
- Product Specs: Product categories (e.g., cow milk, buffalo milk, ghee, buttermilk), quantities (liters or units), and set unit prices.
- Financial Ledgers: Running balance ledgers, previous monthly bills, payments logged manually by the milkman, and outstanding balances.
5. Local Device Storage & Offline Caching
To support early morning delivery schedules in areas with low cellular connectivity, the application operates on an offline-first design.
- Local Storage: All entry logs, cards, and ledgers are cached locally in secure storage on the mobile device.
- Background Syncing: Transactions logged offline are placed in a secure syncing queue. When an internet connection is established, the application automatically pushes these updates to our secure servers.
6. How We Use Your Data
All data processed by the platform is used strictly to fulfill business operations:
- Calculating monthly billing summaries and daily milk summaries.
- Replacing manual paper cards with digital records to prevent disputes.
- Maintaining historical invoice data. All invoices store a snapshot of unit rates at the time of calculation, ensuring billing history is mathematically intact even if rates change later.
7. Payment Information & Third Parties
8. Security & Secure Access
We deploy robust digital and structural guardrails to prevent data breaches:
- Secure Authentication: Access to the mobile app requires a secure login token issued upon owner authentication.
- Identity Isolation: Our servers validate the identity of the user for all requests. A dairy owner has absolute zero access to client balances, rates, or delivery history belonging to another dairy owner.
9. Mobile Application Device Permissions
The Android app downloaded from the Google Play Store requests specific permissions to ensure functionality:
- Network & Internet Access: Required to sync local offline logs to our secure cloud server.
- Storage Access: Required to save data locally on the device for offline entries.
- Notification Access (Optional): Required to display important system alerts, synchronization notices, or subscription status.
10. Compliance with India's DPDP Act, 2023
As an Indian technology provider based in Ahmedabad, Gujarat, we design services in accordance with the Digital Personal Data Protection (DPDP) Act, 2023:
- Data Processor Role: Anjaneya TechHub acts as a Data Processor. We store and process customer data solely under the direction of the Dairy Owner.
- Data Fiduciary Role: The subscription-holding Dairy Owner (Milkman) acts as the Data Fiduciary. They are responsible for acquiring consent from their customers before logging their details into the system.
11. Data Retention
- Subscription Data: We store operational records as long as the subscription is active.
- Database Constraints: To maintain ledger continuity, customer Card Numbers cannot be reused or reassigned, keeping historical accounting calculations mathematically stable.
- Post-Cancellation: If a subscription expires or is cancelled, data is kept for a grace period of 90 days to allow backup extraction, after which it is queued for complete deletion.
12. User Rights
Users have the right to request access, correction, or deletion of their stored personal data.
Because customers are added to the ledger by their milkman, customers who wish to modify their record or clear their billing listings should contact their dairy owner directly. For system queries or requests for manual account deletion, dairy owners can contact our support desk.
